Terms of Service

By accessing or using OneRequest (“the Service”) at onerequest.app, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, you may not use the Service.

These Terms constitute a legally binding agreement between you and CODESTACK CONSULTING LIMITED (Company Number: 14717256), registered in England and Wales (“we”, “us”, “our”).

If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.

OneRequest is a request management platform that enables users (“Owners”) to collect documents, files, signatures, information, payments, and bookings from recipients (“Recipients”) via shareable links.

The Service includes:

• Request creation and management tools
• Recipient tracking and notifications
• File collection and storage
• Booking and scheduling features
• Poll and availability tools
• AI-powered request generation
• Calendar integration with Google Calendar and Microsoft Outlook
• Payment collection via Stripe

We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time with reasonable notice to registered users.

Creating an account: You must provide accurate and complete information when creating an account. You are responsible for maintaining the confidentiality of your account credentials.

Account security: You are responsible for all activity that occurs under your account. Notify us immediately at legal@onerequest.app if you suspect unauthorised access.

Eligibility: You must be at least 18 years old to create an account. By creating an account, you confirm you meet this requirement.

One account per person: You may not create multiple accounts to circumvent usage limits or restrictions.

You agree not to use OneRequest to:

• Collect personal data without a lawful basis or appropriate consent from recipients
• Send requests to individuals who have not given permission to be contacted by you
• Collect sensitive personal data (such as medical records, financial account details, or government identification numbers) without appropriate security measures and legal authority
• Violate any applicable law or regulation, including data protection laws (UK GDPR, Data Protection Act 2018)
• Engage in spam, phishing, or deceptive practices
• Upload or collect content that is illegal, harmful, defamatory, or infringes third-party intellectual property rights
• Attempt to reverse engineer, scrape, or interfere with the Service
• Use the Service to harass, threaten, or harm any person
• Circumvent any security measures or access controls
• Resell or sublicense the Service without our written permission

We reserve the right to suspend or terminate accounts that violate these terms without refund.

Plans: OneRequest offers Free and Pro subscription tiers. Current pricing is available at onerequest.app/pricing.

Billing: Pro subscriptions are billed monthly or annually in advance. All prices are in GBP and inclusive of applicable VAT unless stated otherwise.

Payment processing: Payments are processed by Stripe. By providing payment details, you authorise us to charge your payment method for the applicable subscription fees.

Cancellation: You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. You retain access to Pro features until the period ends.

Refunds: We offer a 14-day money-back guarantee on new Pro subscriptions. After 14 days, subscription fees are non-refundable except where required by law.

Price changes: We will give at least 30 days notice of price increases to existing subscribers via email.

The Free tier includes:

• Up to 3 active requests at any time
• Core field types (file, text, link, signature, photo, etc.)
• Standard email notifications

The Free tier excludes:

• Booking field type
• Payment collection field
• Priority support

We reserve the right to adjust free tier limits with 30 days notice.

Our IP: OneRequest, its design, features, and underlying technology are owned by CODESTACK CONSULTING LIMITED and protected by intellectual property laws. You may not copy, modify, or distribute any part of the Service without our written permission.

Your IP: You retain ownership of all content you create and upload through OneRequest, including request configurations, uploaded files, and submitted responses.

Licence to us: By using the Service, you grant us a limited, non-exclusive licence to store, process, and transmit your content solely as necessary to provide the Service. We do not claim ownership of your content.

Feedback: Any feedback, suggestions, or ideas you provide about the Service may be used by us without restriction or compensation.

Your responsibility: You are solely responsible for all content you collect, upload, or transmit through OneRequest, including content submitted by your recipients.

Content standards: You must ensure that content collected through your requests complies with applicable laws and does not infringe third-party rights.

Recipient data: When you use OneRequest to collect information from recipients, you act as the data controller for that information. You are responsible for having a lawful basis for collection and for informing recipients about how their data will be used.

Storage: Files uploaded through OneRequest are stored in private, access-controlled storage. We do not access your files except as necessary to provide the Service or as required by law.

Our collection and use of personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you agree to our Privacy Policy.

OneRequest integrates with third-party services including Google Calendar, Microsoft Outlook, Microsoft Teams, and Stripe. Your use of these integrations is subject to the respective third party's terms of service and privacy policy.

We are not responsible for the availability, accuracy, or actions of third-party services. Connecting a third-party integration does not transfer responsibility for compliance with that service's terms to us.

Service provided “as is”: The Service is provided without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

Availability: We aim for high availability but do not guarantee uninterrupted access to the Service. We are not liable for downtime, data loss, or service interruptions.

Limitation of liability: To the maximum extent permitted by law, CODESTACK CONSULTING LIMITED's total liability to you for any claims arising from your use of the Service shall not exceed the amount you paid us in the 12 months preceding the claim, or £100, whichever is greater.

We are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill.

Nothing in these Terms limits liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

You agree to indemnify and hold harmless CODESTACK CONSULTING LIMITED and its officers, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:

• Your use of the Service
• Your violation of these Terms
• Your violation of any third-party rights
• Content collected or uploaded through your account

By you: You may close your account at any time via Settings. Upon closure, your data will be deleted within 30 days in accordance with our Privacy Policy.

By us: We may suspend or terminate your account immediately if you breach these Terms, engage in fraudulent activity, or if required by law. We will provide notice where reasonably practicable.

Effect of termination: Upon termination, your right to access the Service ceases immediately. Provisions that by their nature should survive termination (including intellectual property, disclaimers, and limitation of liability) will continue to apply.

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

If you are a consumer resident in Scotland or Northern Ireland, you may also bring proceedings in the courts of your country of residence.

We may update these Terms from time to time. We will notify registered users of material changes by email at least 14 days before they take effect. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

We will always maintain a record of previous versions of these Terms upon request.

By connecting your Google account, you authorise OneRequest to access only the specific Google services you approve during the OAuth consent flow. Our use of Google data is governed by our Privacy Policy and the Google API Services User Data Policy. You may revoke access at any time from Settings > Integrations or from your Google Account permissions page.
